AppointMe: an online appointment booking bot

What AppointMe does

AppointMe is an online booking bot for businesses whose schedule consists of client appointments. Instead of waiting for an administrator to answer, a client chooses a service, specialist, date and convenient time in a short conversation. The bot immediately places the appointment in the calendar and sends a confirmation with the address, price and preparation notes.

The bot works around the clock in a website chat or messenger. It sees the actual timetable and offers only free slots, so two clients cannot book the same specialist at once. The administrator and team always have an up-to-date calendar, while clients can book in the evening, at weekends or while the phone is busy.

Who it is for

  • Beauty and nail salons. Manicure, brows, make-up and combined services with the right duration and specialist.
  • Hairdressers and barbershops. Haircuts, colouring and treatments, including extra time for complex services.
  • Massage and wellness studios. Sessions, packages, rooms and therapists in one schedule.
  • Clinics and private practitioners. Consultations and procedures with preliminary questions and preparation instructions.
  • Teachers, coaches and consultants. Individual sessions online or in person, with a meeting link or address.

How booking works

  1. The client selects a service and sees its price and duration.
  2. AppointMe offers a specialist or allows the client to choose “any available”.
  3. The bot displays free dates and times from the live calendar.
  4. It asks for a name and contact details and, if required, takes a deposit.
  5. Both the client and the business receive confirmation; the calendar is updated instantly.

A client can use the same dialogue to reschedule or cancel within your rules. The released time immediately becomes available to someone else, without calls and manual calendar edits.

Calendar and schedule

You set working hours, breaks, holidays, service duration and the time needed between clients. Each specialist may have an individual timetable and list of services. AppointMe accounts for rooms and equipment too: it will not schedule two procedures at the same time if both require the same cabinet or device.

The bot can connect to an existing calendar or provide a shared booking calendar for the team. An administrator may add an appointment manually, block time, move a visit or change a specialist; clients immediately see the updated availability.

Reminders and fewer no-shows

AppointMe sends confirmation after booking and reminders at the intervals you choose—for example, one day and two hours before the visit. A reminder includes buttons to confirm, reschedule or cancel. If a client does not confirm, the administrator receives a notification and can contact them before the slot is lost.

For services with a high cost or long duration, the bot can request a deposit and mark it in the appointment. Your cancellation policy is shown before payment, and the visit is confirmed only after a successful transaction.

What the business gets

  • Bookings 24/7. New clients do not leave because nobody answered the phone.
  • Less routine. The bot handles repeated questions about prices, duration and free times.
  • Fewer empty slots. Automatic reminders and deposits reduce forgotten visits.
  • A clear workload. The owner sees appointments by day, specialist and service.
  • Returning clients. The bot can suggest another visit after the recommended interval.

Launch and integration

We load your services, prices, durations, staff schedules and booking rules, connect the required website or messenger channel and customise the dialogue in your tone. AppointMe can pass contacts and visits to a CRM, send notifications to Telegram and export data for reports.

Before launch, we test real scenarios: simultaneous booking, rescheduling, cancellation, a day off, a late client and a deposit. Your team receives a simple calendar and instructions. Write to us, and we will show how AppointMe can organise bookings for your services.
