Ability to display the warehouse online for retail and wholesale trade

back

While a company sells a dozen items, the warehouse fits into a single spreadsheet. The trouble starts later — when there are two points of sale, deliveries arrive one after another, and a manager promises a customer something that left the shelf an hour ago. Manual accounting does not lie on purpose; it is simply a few hours behind reality, and those few hours are enough to lose an order and the trust that came with it.

The warehouse accounting system by PurpleLabs keeps every movement of goods in one database and recalculates the balance at the moment of the operation. A receipt from a supplier, a sale, a return, a transfer between warehouses, a write-off of damaged stock — each action leaves a record with a date, an amount and the name of the employee who performed it. At any moment you see not only how much is in stock right now, but also how it got there.

What the system does:

  1. accepts goods by delivery note with supplier, purchase price and batch;
  2. handles write-offs and returns with a reason and a responsible person;
  3. supports several warehouses and shops with transfers between them;
  4. keeps a product card with an article number, barcode, attributes and a photo;
  5. runs stocktaking: actual quantities against recorded ones and a discrepancy report;
  6. shows the total balance of goods and receipts, turnover, margin and dead-stock reports;
  7. separates access rights — storekeeper, manager and director see different sections;
  8. exports data to Excel and exchanges it with your accounting software.

The feature most customers come for is the ability to display the warehouse online. Current balances are published to your website automatically: a retail buyer sees that an item is in stock, while a wholesale partner signs in to a personal account and places an order at their own prices without calling a manager to check quantities. The online catalogue is updated right after the operation in the warehouse, so selling something you do not have stops being a normal working situation.

The system runs in a browser and needs no installation on every computer: the warehouse needs a workplace with internet access, and the owner needs a phone to check balances and turnover from anywhere. When it makes sense, we connect the accounting to a website built on our CMS, to the CRM and to the mail messaging service, so that orders, customers and goods live in one environment instead of three unrelated spreadsheets.

Deployment usually takes a few days. We import your item list and current balances from existing spreadsheets, set up warehouses, suppliers and units of measure, create employees with the right permissions and show the storekeeper how to register a receipt and a sale — the interface is made for people who work with goods, not with software. For the first month we stay close to the process and adjust whatever turns out to be inconvenient in practice.

This is not a boxed product with a hundred buttons you will never press. The system is adjusted to your processes: your documents, your reports, your rules for discounts and reservations. Tell us how your warehouse works today and we will suggest a setup that takes manual stock reconciliation off your employees' hands.
